With our Delegate approver feature, you can assign someone to take over approval responsibilities while a user is away.
What is a Delegate approver?
A Delegate approver is someone who can take over approval responsibilities for another user when they’re marked as ‘Out of office’. By default, each user's delegate is set to the account Owner, but this can be changed at any time.
Who can assign or change a delegate approver?
Admins and any users with Add/edit people permissions can assign or update a user’s delegate approver.
How to assign a Delegate approver
- Go to User management → People
- Click on the user you want to edit
- In the user detail drawer, find the Delegate approver dropdown
- Select a new delegate from the dropdown list
You can assign any active user as a delegate approver.
How to turn on ‘Out of office’
Once the correct delegate is assigned, you can enable ‘Out of office’ for a user so their delegate can start handling their approvals.
- Go to User management → People
- Click on the relevant user
- In the user detail drawer, toggle Out of office on
- Set a start date and end date
‘Out of office’ starts at 12:00am AEST on the start date and ends at 11:59pm AEST on the end date. Only Admins and users with Add/edit people permissions can enable ‘Out of office’ for others.
Important notes
- Pending approvals will not be redirected. Make sure ‘Out of office’ is enabled before someone leaves, so their delegate can pick up all new approvals.
- Delegate approvers will only receive approvals during the ‘Out of office’ period.
- This feature is currently in beta and may not be available on all accounts.
