To update a workflow:
- Open up the Spend Management menu
- Select the Custom workflows option within the menu
- Select the workflow from the list you want to edit
- Make the necessary changes to the workflow
- Click Update to save the changes
- A confirmation pop up will appear informing you that “This workflow will be updated. Any affected actions will be cancelled or reverted to previous behaviour.” Click Update.
Please note:
- If you edit a workflow while a request is pending it will either be cancelled or revert to the old behaviour:
- Reimbursement - If there is a reimbursement pending approval due to a workflow rule and the workflow rule that triggered the approval is edited, the reimbursement will need to be re-coded and will need to go through the budget rule approval process.
- Bill - If there is a bill pending approval due to a workflow rule and the workflow rule that triggered the approval is edited, the bill will need to be re-coded and will need to go through the budget rule approval process
- Budget top-up - If there is a budget pending approval due to a workflow rule and the workflow rule that triggered the approval is edited, the budget top-up request will be cancelled. The requestor will be notified by email that their request has been cancelled and will need to resubmit the budget top-up.
