Purchase Order access in Weel is controlled by three dedicated permissions, assigned per user role. Together they determine who can create, view, and manage Purchase Orders across your business. Knowing how they work gives you the right level of control, from managing your own Purchase Orders to overseeing every Purchase Order your business creates.
How It Works
- Request Purchase Orders: Create, submit, and manage your own Purchase Orders for approval. Every user with Purchase Order access has this by default.
- View all Purchase Orders: See every Purchase Order across the business, not just your own; you can still see and manage your own without it.
- Edit all Purchase Orders: Edit, close, or delete any Purchase Order in the business, including ones submitted by others. Automatically includes Request and View all.
- Your own Purchase Orders stay yours: You can always edit, close, or delete a Purchase Order you submitted, even without Edit all Purchase Orders.
- Default access by role: Owner and Admin get all three permissions, Accountant gets Request and View all, and Team Member gets Request only.
- Custom roles: Admins and Owners can assign any combination of the three permissions to a custom role.
Good to know
- Accountants can see every Purchase Order across the business but can't edit, close, or delete ones they don't own, since Accountant doesn't include Edit all Purchase Orders by default.
- Weel ships four default roles: Owner, Admin, Accountant, and Team Member. Owner and Admin can't be deleted, renamed, or have their permissions edited. Accountant can't be deleted or renamed, but its permissions can be edited. Team Member is the most flexible of the four: it can be deleted, renamed, and have its permissions edited.
- Update a role's Purchase Order permissions any time from User Management, under the Roles tab. Changes take effect immediately for everyone assigned to that role.
