When your supplier sends you an invoice that includes credits, adjustments or refunds as line items, Weel now supports these automatically. Credit line items allow you to capture the full detail of an invoice - including any negative amounts - so your bill total is accurate and matches the supplier's invoice exactly.
How are credit line items captured?
When you upload or email in an invoice that contains credit line items, Weel's AI will automatically scan and extract them alongside your regular line items. You don't need to do anything differently - just upload your invoice as usual.
To create a bill with credit line items:
- Upload your invoice to Weel via email-in or by creating a bill manually
- Weel's AI will extract all line items from the invoice, including any credits (negative amounts). If the AI has not extracted the negative line item, you can manually add a credit line item by typing a minus sign followed by the amount (e.g., -50.00) in the Amount field.
- Review the line items in the bill form. Credit line items will display with a negative amount in green.
- Code each line item as needed - credit line items support the same options as regular line items, including categories, custom fields and GST selection.
- Confirm the bill total is correct. The credit line items will automatically reduce the total amount.
- Submit the bill for approval or schedule payment as usual.
Things to know
- The bill total cannot be negative. While individual line items can have negative amounts, the overall bill total must be a positive amount.
- When a bill with credit line items is exported to Xero, the negative line items are included on the bill at every stage (Awaiting Approval, Scheduled for Payment, etc.). Important: Credit line items do not create a separate credit note in Xero. They remain as line items on the bill itself, keeping your records clean and consistent.
