Welcome to Weel. This guide covers what you need to do to set up your Weel account, whether you're a business owner, financial controller or accountant. Weel splits setup into Required steps (the essentials to unlock spending) and Recommended steps (to get more value from Weel). How It Works
You'll find each of these in your dashboard checklist and in Weel Academy, where every step has a short how-to video or interactive walkthrough.

Connect your accounting software. Link Xero, MYOB, QuickBooks, Business Central or NetSuite so every Weel transaction syncs to your books automatically, no exporting or double entry between systems.
- Go to Settings > Integrations, choose your software and follow the prompts. NetSuite is currently available for Australian businesses only; Business Central needs an Enterprise plan. Map your chart of accounts. Match Weel categories to your accounting software's chart of accounts so spend is coded correctly the moment it happens.
- Go to Settings > Chart of accounts and match each category. Learn how to map your chart of accounts.

Create your first budget. Control who can spend and how much, usually set per team, project or vendor.
- This step needs Admin or Owner access; an Accountant can view budgets but can't create one. Go to the Budgets page, click Create New Budget, set a name, spend limit and top-up rules, then add team members and one or more Budget Owners. See how to create a budget.

Verify your business. Complete KYB and KYC checks, a legal requirement under anti-money-laundering law, administered by AUSTRAC in Australia and the Financial Markets Authority (FMA) in New Zealand.
- No money can move into your Weel account until this is done. Learn how to sign up your business to Weel.

Transfer funds into your account balance. Fund your Weel balance so cards can start spending.
- This step needs Admin or Owner access. Go to Settings > Account balance and follow the transfer instructions. Learn how to transfer funds into your account balance.
You can connect your accounting software, map your chart of accounts and create a budget while verification is in progress, but spending only goes live once you're verified and funded. Once it does, your dashboard takes over automatically, tracking spend, approvals and incomplete expenses in real time. See Understanding the Admin Dashboard.
- Explore recommended next steps. Once you're set up and spending, these steps help you get more from Weel. They're grouped the same way in your dashboard and Weel Academy.
- Start spending: get the Weel mobile app to use cards and capture receipts on the go; make a card payment in-store or online; complete an expense report from your phone.
- Bring in your team: invite your team and assign them to budgets; set up an approval rule for budgets, bills, reimbursements, cards and purchase orders.
- Automate your spend: enable Weel AI and automations to categorise spend and complete expense reports automatically; learn about Accounts Payable to create and pay supplier invoices from Weel. Availability depends on your account's plan and configuration; contact Weel if you don't see it.
Good to know
- You'll need Admin, Owner or Accountant access to get started. Accountant access covers connecting your accounting software, mapping your chart of accounts and viewing budgets, but creating a budget and transferring funds into your account balance need Admin or Owner access.
- Have your business details ready for KYB verification. See Understanding What Business Information You Need to Provide (Australia), or the New Zealand equivalent if your business is based there.
- Have your accounting software login ready if you use Xero, MYOB, QuickBooks or Business Central. NetSuite is also supported, currently for Australian businesses only.
