Connect Weel to Microsoft Dynamics 365 Business Central to bring your chart of accounts, dimensions, tax groups and vendors into Weel, and send approved expenses and invoices back to Business Central automatically. You'll set this up partly in Microsoft (Entra ID and Business Central) and partly in Weel, so have your IT administrator on hand if you don't manage Entra ID yourself.
The Business Central integration is available on the Enterprise plan and is currently in Beta.
Before you start
You will need:
- Admin access to your Weel account.
- Access to Microsoft Entra ID (in the Azure Portal) with permission to create app registrations and grant admin consent.
- A Business Central environment (Production or Sandbox) with at least one company.
- No other accounting integration connected. If Xero, MYOB, QuickBooks or NetSuite is connected, disconnect it first.
Steps
1. Register an app in Microsoft Entra ID
- Sign in to the Azure Portal and go to Microsoft Entra ID > App registrations > New registration.
- Name the app (for example, "Weel Business Central"), set Supported account types to
Accounts in this organizational directory only, then click Register. - Copy the
Application (client) IDand theDirectory (tenant) ID. You'll enter both in Weel. - Go to Certificates & secrets > New client secret, choose an expiry and click Add.
- Copy the secret
Valuestraight away. Microsoft only shows it once.
Note: When the client secret expires, Weel can't export to Business Central until you create a new one and reconnect. Set a reminder before the expiry date.
2. Grant API permissions
- In your app registration, go to API permissions > Add a permission.
- Select Dynamics 365 Business Central.
- Choose Application permissions (not Delegated permissions) and select
API.ReadWrite.All. - Click Add permissions, then
Grant admin consentfor your organisation.
3. Register the app in Business Central
- In Business Central, search for Microsoft Entra Applications.
- Click New and enter the
Client IDfrom step 1. - Set the State to
Enabled. -
Under User Permission Sets, assign these four permission sets:
D365 ACC. PAYABLED365 BASIC ISVD365 BANKINGD365 VENDOR, EDIT
Tip: If your IT team needs a narrower, custom permission set, contact Weel support and we'll share the exact list for your setup.
4. Connect in Weel
- In the Weel web app, go to Settings > Integrations.
- Click Connect next to Business Central.
- Enter your
Tenant ID,Client ID,Client SecretandEnvironment(the environment name exactly as it appears in Business Central, for exampleProduction), then click Submit. - Once Weel verifies your credentials, choose your company from the Select your company dropdown and click Submit.
What happens next
Weel brings in your chart of accounts, dimensions, tax groups, vendors and accounting lock date from Business Central. Dimensions appear in Weel as custom fields. Map your chart of accounts before expenses can export.
Weel also sets up a bank account in your Business Central company to use as the balancing account for every export. Before it creates one, Weel checks your existing bank accounts for either of these:
No. is your Weel funding account's BSB and account number, joined by a hyphen (for example,
123456-12345678)-
Name is
Weel Expenses Account
If one of your bank accounts matches either, Weel uses it. If none do, Weel creates a bank account with that No. and Name. You don't need to create it yourself.
From then on:
-
Card expenses and reimbursements - once approved, these export as lines in a general journal batch called
WEEL, with dimensions, tax codes and receipts attached. Weel doesn't post the journal, so review and post theWEELbatch in Business Central. -
Accounts payable invoices - export as draft purchase invoices. When you pay a bill in Weel, Weel posts the invoice and adds a vendor payment line to the
WEELbatch, using the posted invoice number as the document number. Before you post that line, set its Document Type toPaymentand useApply Vendor Entriesto match it to the invoice. - Credit notes - export as draft purchase credit memos for you to post and apply in Business Central.
If the connection fails, check each credential and that admin consent was granted in Entra ID, then try again. If Weel can't find a company, check the app's permission sets in Business Central.
Things to remember
- Vendor bank details don't sync. Business Central doesn't share them through its API, so add bank details to each supplier in Weel before you pay them.
- New vendors need a template. When Weel creates a vendor in Business Central, Business Central fills in the posting groups. Set up a vendor Configuration Template in API Setup first, or the vendor won't have posting groups.
- Locked periods follow Business Central. Weel reads
Allow Posting Fromin your General Ledger Setup and won't export into an earlier period. - Only local-currency bank accounts appear as paid-from accounts in Weel. Foreign-currency invoices post in AUD at Weel's exchange rate.
- Descriptions over 100 characters are shortened to fit Business Central's limit.
