Weel pays approved invoices automatically, either on a date you set or through Batch Payments, so you never have to release funds manually. Payment timing depends on how the invoice is coded, and funds are drawn from the linked Budget and your account balance. Weel also warns you ahead of a shortfall and retries failed payments automatically.
How It Works
- Automatic Payment Date: Choose a date when creating the invoice, and Weel pays it automatically once approved - no extra action needed.
- Batch Payments: Skip the date and the invoice waits in Ready to Pay - pay it yourself, or batch it for an approver to release.
- Hourly Payment Checks: Weel checks for due invoices every hour, in your local time zone, so payment lands as close to your date as possible.
- Funds From Your Budget: Payment comes from the Budget's member or pooled limit, then your account balance - keep both funded to avoid failures.
- Early Insufficient-Funds Warning: If a scheduled invoice will exceed the available Budget limit, Weel warns the approver up to 24 hours ahead.
- Automatic Retry on Failure: A failed payment is marked Failed, and Weel retries it once the issue clears, for invoices under 6 months old.
Good to know
- International invoices always use an Automatic Payment Date - Batch Payments and no-date payments aren't available for them.
- You need Admin access to set or change an invoice's Automatic Payment Date.
