Manage your suppliers under Spend Management, where each supplier's status (Draft, Pending, or Approved) determines who can edit or delete it.
Steps
To delete a supplier
- On the Suppliers page, find the supplier you want to remove.
- Click the menu icon in the Actions column to open its action menu.
- Select Delete (shown with a trash icon).

Confirm the deletion when prompted.
- If the supplier has a bill in progress (anything other than Coding Required, Paid, or Declined), Delete is disabled until that bill is cleared or finished.
To edit a supplier
- Select the supplier you want to modify.
- Update its details, for example contact information or payment details.

Click Update supplier to save your changes.
- If the supplier already has invoice payments attached, you'll be asked to confirm the update: approved payments are sent back for reapproval, and draft payments are updated automatically with the new details.
A supplier can be deleted whether it's Pending or Approved: deleting isn't a status change. Deleting always requires the "Edit all suppliers" permission, even if you created the supplier yourself. Once deleted, any unpaid invoice payments using that supplier revert to Coding Required so a new supplier can be entered. Paid invoices are unaffected: The supplier record is retained so paid invoice history stays intact.
While a supplier is Pending, its creator can edit it without holding the "Edit all suppliers" permission. Once it's Approved, only someone with "Edit all suppliers" can make changes, including the original creator. Owners and Admins always hold this permission; it can also be granted to an Accountant, Team Member, or custom role. If you can't edit a supplier yourself, you can still view it if you created it or raised a bill against it, but you'll need someone with the permission, usually an Admin or Owner, to make the change.
