A Budget owner is a dedicated approver type you assign in Approval Rule settings, responsible for approving requests tied to a specific budget. Assigning Budget owners lets you build simpler Approval Rules, since department leads and project managers can approve activity on their own budgets while finance admins handle approvals across the whole business.
How It Works
- Flexible ownership: A budget must have at least one Budget owner and can have several. Owners don't need to be spending members of that budget.
- Two approval modes: Choose 'All' to require every Budget owner's approval, or 'Any' so just one owner's approval is enough.
- Built-in permission control: Budget owners can't edit a budget's rules unless they're also an Admin, Owner, or hold a custom role with that permission.
- Full visibility: Budget owners see every transaction and approval request tied to their budget by default.
- On-the-spot limit changes: Budget owners can make or request a one-off increase to a budget's limit or a member's individual limit, depending on how Approval Rules has been set up.
- Simpler Approval Rules: Assign department leads as Budget owners for their own budgets, while finance admins act as general approvers everywhere else.
How to change a Budget owner
- Open the Budgets page.
- Open the budget you want to edit.
- Click Edit Budget Rules.
- Update the budget's rules, including its Budget owners.
- Click Save.
- Confirm the change by clicking Save again.
Good to know
- There's no minimum role requirement. Any active Weel user, including a Team Member, can be assigned as a Budget owner.
- A Budget owner must belong to the same company account as the budget they own.
- Budget owner was previously called Budget approver in the product. They're the same role, just renamed.
