Create a Card transaction Approval Rule to require sign-off on card spend, since Weel doesn't apply one by default (see the Approval Rule builder overview).
Before you start
- You need permission to manage workflows to access Approval Rules.
- Card transaction Approval Rules require a Premium or Enterprise plan. On Basic, you'll see an "Unlock advanced filters and custom rules with our Premium plan" prompt instead of the rule builder.
- On Premium, the number of rules and approval steps you can add is capped by your plan; Enterprise removes those limits.
Steps
- In the left-hand sidebar, select Approval Rules.
- Select the Card transaction rules tab.

Click Add a rule (this becomes Add another rule once you already have one set up).
- Adds a single-step rule ready to customise. This automatically turns on Prevent self-approvals for card transactions; removing your last rule turns it back off.

Click Add filter to narrow which transactions the rule applies to.
- Choose from Amount, Users, Roles and Budgets; some accounts may also see Categories and Custom fields.

In the Approver section, choose Budget owners, Users or Roles as the approver type.
- You can select multiple approvers of the same type. Budget owner is always a single, dynamic approver.

Choose whether Any or All of the selected approvers must approve.
- Any: only one approver needs to approve. All: every selected approver must approve before the rule moves to the next step.
- Click Add approval step to add another step to the rule, and repeat steps 4 to 6 to configure it.
- To add another rule for card transactions with different conditions, click Add another rule and repeat steps 1 to 7.

Click Update, then Confirm, to save your changes.
- Changes only apply going forward. Any approval that's already pending stays on the rule version it was created under.
What happens next
Card transaction rules never get a default Fallback rule like Accounts Payable, Reimbursement and Budget top-up rules do, so if nothing matches (or you haven't created a rule yet), no approval is required. Order your rules so the most specific ones (the ones with the most filters) sit above more general ones.
