Understanding Weel Academy

Weel Academy is your in-app how-to hub: short, guided walkthroughs pairing each setup step with a video or interactive demo, so you learn and do at the same time. It's a web feature, though some steps happen in the Weel mobile app. As a Team Member, it walks you through what you need to start spending.

How It Works

  • Two ways in: the Setup Guide widget or your dashboard's Getting Started card via its Show me how links, while required steps remain.
  • Your Steps (left panel): shows what you need to start spending, get the Weel app, make a card payment, and complete an expense report.
  • Progress bar and time estimate show how much of your required setup is left.
  • The Walkthrough (right panel): each step includes a video or demo, a description, a time estimate, a button, and a link to the next step.
  • Recommended tracks like Bring In Your Team and Automate Your Spend are built for Admins, so you won't usually see them without extra role permissions.
  • Progress stays in sync and ticks off automatically across the dashboard, the Setup Guide, and Academy.

Weel Academy has two parts to it:

1) Your Steps

This is on the left-hand side of the Weel Academy. It contains steps you need to complete spending, alongside the steps you can complete after spending is unlocked to get the most out of Weel.

  1. Steps to unlock spending → these are the essentials that get your business spending, with a progress bar and estimate of how many minutes you have left. 
  2. Steps once you've unlocked spending → these are steps we recommend you complete to get the most out of Weel, grouped into three tracks:
    1. Start spending. Get the app and make your first card payment.
    2. Bring in your team. Invite your team and setup Weel to scale with your business.
    3. Automate your spend. Turn on Weel AI and pay supplier invoices with Accounts Payable.

2) The Walkthrough

This is on the right-hand side of the Weel Academy. Select any step to open its walkthrough. Each one includes:

  1. A short video or interactive demo showing exactly what to do.
  2. A quick description and a time estimate.
  3. A button that takes you straight to where you complete the step in Weel, and a link to the next step once done.

Good to know

  • Once your required steps are done, Weel Academy and the Setup Guide widget stop appearing. Unlike Admins, Team Members don't get an ongoing view of the recommended tracks.
  • If your role doesn't use a Weel card, Weel Academy and the Setup Guide widget won't appear at all, since there's nothing for them to walk you through.
  • Weel Academy is optional and tailored to your role. You can complete every step directly in the product, and even two Team Members can see different steps depending on their permissions and payment types.
