Update a budget's rules, adjust its available amount, add members, or delete it, all from the budget's page if you have permission to make changes.
Before you start, you'll need permission to update or delete budgets for your business.
Steps
Edit the budget's rules
- Open the Budgets page.
- Open the budget you want to edit.
- Click Edit Budget Rules.
- Update the budget's name, reset schedule, and, if this is enabled for your business, its available payment types, categories, and custom fields.
- Click Save. Check the summary in the Edit Budget Rules? confirmation panel.
- Click Save again to confirm.
Changes to the budget's ongoing rules and recurring limit take effect from the start of the next reset cycle (weekly, fortnightly, monthly, or whatever the budget's reset period is). If the budget doesn't automatically top up, the change applies straight away instead.
Change how much is available right now
Editing the budget's rules only changes its ongoing settings for future cycles. It doesn't change what's available to spend today.

Go to the budget's overview page.
- No per-member limits: click the pencil icon (One-off limit adjustment or Request limit update) to change the total amount immediately.
- Per-member limits on: use the + and − icons next to each member's name in the Budget Members table to adjust their limit instead.

Add budget members
- Click Add budget members.

Search for and select the people you want to add.
- If the budget has per-member limits on, you'll also set a spending limit for each new person. This increases the budget's total limit and top-up amount by the same amount.
- Click Add.
New members can start making payments right away, or as soon as they accept their invite if they haven't already.
Delete a budget
- Open the budget.
- Click the bin icon.
- Confirm you want to delete the budget.
Deleting a budget archives it rather than erasing it. Budget members can no longer pay from it, but every transaction stays visible and editable on the Transactions page, complete with category, tax details, and amount, and keeps syncing to your accounting integration. Any pending approvals already assigned to the budget's owner stay assigned even after deletion.
Deleting a standard budget doesn't close or revoke its members' cards. Only their link to that budget is removed. The exception is a Subscription budget (used for a single subscription's card): deleting one of these does revoke its linked card, since the budget and card are a one-to-one pair.
