When your Weel account connects to Xero, each Accounts Payable invoice or reimbursement line item exports automatically. It doesn't need to be coded or approved first, only a supplier and a date. Xero's bill status then stays in sync as the bill moves through Weel, and each line carries its amount, tax, description, and accounting code across automatically.
How It Works
- Amount: Splits taxable and non-taxable portions of a line separately when it has mixed tax treatment, keeping GST reporting accurate.
- GST/Tax: Sends the correct tax type for each portion of the line, so Xero's tax coding matches Weel automatically.
- Description: Carries the line item description you entered in Weel straight into Xero, with nothing to re-type.
- Category / Accounting Code: Matches each line to the GL account it's coded to, following your Chart of Accounts mapping.
- Xero Tracking Categories: Syncs back to Xero automatically, but only for custom fields originally imported from Xero as a Tracking Category.
- Bill Status: Tracks your bill through Xero, from Draft (Coding Required) through Submitted for Approval and on to Authorised once approved; Declined bills are removed.
Good to know
- Manually created custom fields in Weel (the ones you build yourself in Settings, not synced from Xero) never export to Xero, whether into the Description, Reference, or as a Xero custom field. Add that information to the Description field yourself if you need it to appear in Xero.
- The sync isn't instant, so allow a short delay before a bill appears in Xero. Weel also sends the supplier record and any attached receipts or documents along with the bill.
- Negative line items, such as credits, adjustments, or refunds, import the same way as any other line item. See "How do I apply negative line items on an invoice?" for that specific flow.
