Check if required fields are set up correctly

In your NetSuite account, are Location, Class, Department, or Expense Category marked as mandatory?
If Yes, make sure the transaction includes a value for the mandatory field.

Check the vendor setup

Does the vendor exist in your NetSuite account?

If Yes:
Confirm the vendor has a default shipping address set.
Confirm the vendor’s default currency matches the currency of your Weel Expenses Account COA.

If No:
First, make sure the custom fields on the transaction are filled correctly.
Then, turn on the Match vendors on export feature in Weel. To do it, go to the integrations page, scroll to NetSuite and make sure the toggle is on.

Reimbursements are not currently supported with the NetSuite integration.

4. Exported amount or tax is incorrect
Tax is calculated by NetSuite, not by Weel.

Example: If a $20 transaction in Weel appears as $22 in NetSuite, this usually happens because the vendor has no default shipping address.
Without a shipping address, Weel exports the transaction as tax exclusive, and NetSuite may add tax (e.g., 10% GST = $2).
How to fix:
Set a default shipping address for the vendor in NetSuite.

In Weel, go to the Chart of Accounts (COA) page and click Sync.
This change won’t update past exports (you’ll need to adjust them manually).
It will prevent the issue in future exports.
5. Multiple vendors created in NetSuite

To avoid duplicates, turn on the Match vendors on export feature in Weel.

If enabled, Weel will:
Export to the matching vendor if it already exists in NetSuite.
Otherwise, export to a generic “Weel expenses” vendor.

6. Bank feed is not exported
If your bank feed data isn’t appearing in NetSuite:
Go to the Match Bank Data page in NetSuite.
Select Weel Expenses Account in the Account field.
Click Update Imported Bank Data.
If successful, you’ll see a confirmation in the top-right corner.
⚠️ Notes:
This action can only be triggered once per hour.
If you click multiple times within an hour, you may see the error:
“Update request not processed.”
7. Custom fields not exported
Any custom field created in Weel is exported to NetSuite as part of the Memo field.

We currently support these custom fields for NetSuite:
Location
Class
Department
Expense Category
8. Custom field option not visible in Weel
Check if the option is available for the subsidiary that Weel has access to.

If the option was recently added in NetSuite:
In Weel, go to the Chart of Accounts page.
Click Sync.
Wait ~30 minutes for the data to update.
Once the sync is complete, the new option will appear in Weel.
9. Duplicate transaction in NetSuite
This is an extremely rare issue, and we are actively working on a fix to ensure it does not occur again.
If you encounter a duplicate transaction before the fix is released, we recommend manually voiding the duplicate check in the NetSuite UI.
