You can update a transaction's or expense's attendee list at any time, whether you're correcting a mistake or removing someone no longer involved, on web or mobile.
Before you start
- The Attendees field must be turned on for your business, and it only applies to card transactions, not bills or reimbursements.
- An Admin can restrict which expense categories require attendees to be recorded at all. If you can't see an Attendees field on a transaction, ask your Admin to turn it on.
Steps: Web app
- Open the Transactions page.
- Select the transaction you want to update.
- Click the Attendees field. Everyone currently listed appears as a tag.
-
Click the x on the tag of each attendee you want to remove.
- Each attendee sits directly on the field as a removable tag, so there's no need to reopen the dropdown list. Removing everyone switches the field to "No attendees present" automatically.
-
Click Update to save the change.
- This button reads Resubmit instead if the transaction previously had changes requested by an approver.
Steps: Mobile app
- Open the Expenses tab.
- Use the Incomplete and Complete tabs to find and open the expense.
-
Tap the Attendees field. Because attendees are already listed, this takes you straight to the Select Attendees screen.
- You won't see the initial "Select Attendees / No Attendees Present" prompt, since that only appears when the field is empty.
- Tap each attendee you want to remove. Their checkmark clears to show they're no longer selected, and you can deselect more than one at a time.
- Tap Save.
What happens next
Removing an attendee only takes them off this one transaction or expense; their attendee record stays in your business and is still available to select on other transactions. If you remove everyone, the field shows "No attendees present" rather than staying unanswered, so it won't re-trigger the required-attendees warning on a category that needs one.
