Weel is an all-in-one spend management platform for your team. It combines virtual and physical corporate cards, reimbursements for out-of-pocket spend, and Accounts Payable and Purchase Orders for supplier invoices, all in one place. Every transaction, whether it's a card payment, a reimbursement, or an accounts payable approval, flows straight into your accounting software automatically.
How Your Business Uses Weel
Getting your business running on Weel is mostly a setup job for your Owner, Admin, or Accountant:
- Accounting software. Connect Xero, MYOB, NetSuite, or QuickBooks so transactions sync automatically and nobody has to double-enter anything.
- Budgets. Create budgets to control who can spend and how much, usually organised by team, project, or vendor, each with a nominated Budget Owner who reviews that budget's transactions and approvals.
- Approval rules. Set up rules to decide who signs off on transactions, bills, reimbursements, cards, and purchase orders.
- Verification and funding. Verify your business (KYB), a regulatory requirement before any money can move into your Weel account, and fund your account balance so cards can start spending. You can complete the other setup steps while verification is in progress, but spending only goes live once your business is verified and funded.
- Purchase Orders, Accounts Payable, and reporting. Once you're running, your business can also raise and pay Purchase Orders, run Accounts Payable for supplier bills, and pull reports on spend.
How Team Members Use Weel
- Cards. You're issued a virtual card, and a physical card if your business has that enabled, linked to a budget your Admin assigns. Each card and budget is tied to you personally, so there's no sharing with the rest of the team.
- Expenses. After you pay with your card, complete the expense: add a photo of your receipt (or upload one) and any details your business needs. Weel's OCR and AI tools then extract and match the details automatically, so you don't have to enter everything by hand.
- Reimbursements. If you pay out of pocket instead of using a card, submit a reimbursement claim. It goes through your business's approval workflow and pays out directly to your bank account, without waiting for the next payroll run.
- Purchase Orders and Accounts Payable. Depending on your role and your business's setup, you may also submit or approve supplier invoices paid through Weel.
- Accounting sync. Card payments, reimbursements, and any bill approvals are all tracked and synced to your accounting system automatically, so your finance team never has to chase you down or manually re-enter your spending.
Role Types in Weel
Every user in Weel has a role that determines what they can see and do. There are four default roles:
- Owner. Has the same permissions as Admin, plus is the nominated primary contact for the account and responsible for its business verification. The Owner is auto-assigned to whoever creates the account and can currently only be reassigned by contacting Support.
- Admin. The highest level of standard access: create and edit budgets, invite staff, create and edit subscriptions, manage account settings, and make payments.
- Accountant. Can view budgets, edit expense data, export transactions, and configure accounting and expense settings, but can't make payments, create budgets or subscriptions, or transfer funds into the account balance.
- Team Member. Can make payments from budgets assigned to them, complete expense reports, request budget top-ups, and view their own budgets, but can't create budgets, view the account balance, or see other people's budgets or transactions.
You can also create custom roles with a tailored set of permissions (for example, "Supervisor" or "Team Lead") if the four defaults don't fit how your business is structured.
A Budget Owner is different from these account-level roles. It's a designation on a specific budget, not an account-wide role: whoever is assigned reviews and approves that budget's transactions and can adjust its limit. It's usually an Admin or the person who manages that team or project.
