Custom fields let you capture any business code, such as a client code, project code, cost centre or region, from your team whenever they make a payment.
Create a custom field
- Click Settings.
- Click Expense Fields in the menu.
- Scroll down to Custom Fields.
- Click the toggle to turn on Custom Fields.
- Click Create new custom field.
- Enter a Custom field name, for example Client Code.
- Toggle Make this field visible to Owners, Admins, Accountants and Approvers only if you want to restrict the field to these access levels.
- Select an option for Which budgets and subscriptions require this field?
- All current and future budgets / subscriptions: applies automatically to every existing and future budget and subscription.
- Specific budgets / subscriptions: choose which ones need it.
- None: the field won't apply to any budget or subscription, and it's hidden from the transaction table and CSV exports.
- Choose how your team provides the value: Free text input or a list of Predefined options.
- If you choose Predefined options, type each option into Add new option and press Enter to add it.
- Click Create new custom field.
Edit an existing custom field
- Click Settings.
- Click Expense Fields in the menu.
- Scroll down to Custom Fields.
- Open the custom field you want to change.
- For a field imported from your accounting software, the name is locked, but you can still change Which budgets and subscriptions require this field?.
- Click Update custom field.
What happens next
- If you're integrated with Xero, MYOB, QuickBooks or Business Central, Weel automatically imports your tracking categories as matching custom fields. If you're integrated with NetSuite, Weel imports locations, departments, classes, customers and expense categories instead.
- Custom fields work at transaction level or budget/subscription level. There's no employee-level custom field yet, so you can't attach one directly to a staff profile.
- Your team can also complete required custom fields when submitting an expense from the Weel mobile app.
