Filter the transactions table to quickly find and analyse transactions by person, budget, category, date, amount, or status.
Steps
- Open the Transactions page.
- Type into the Search box next to the Filter button to find a transaction by name, such as a merchant. Use this on its own or alongside filters.
- Click Filter to see the available filter types.
-
Select a filter type. Each one opens its own dropdown:
-
Status, Person, Tax Invoice, Transaction Type, and Category open a checklist so you can tick one or more options.
- Transaction Type only shows "Invoice payment" if Accounts Payable is enabled, and "Reimbursement" if reimbursements are enabled for your business.
- Status options depend on your accounting integration. Xero-connected businesses see extra statuses such as Pending Export, Unreconciled, Reconciled, and Export Error.
- Date opens a picker with shortcuts (Current/Previous Day, Month, Quarter, Year, and Financial Year) or a custom date range.
- Amount opens a numeric range so you can set a minimum and/or maximum.
- Budget/Subscription filters to one or more budgets or subscriptions.
- Any custom field your business has set up as a "list" type also appears here and filters the same way as Status or Category.
-
Status, Person, Tax Invoice, Transaction Type, and Category open a checklist so you can tick one or more options.
- Choose a value to apply the filter. It appears as a removable chip above the table, and the results update immediately to show only the transactions matching every active filter. Add as many filter types as you like, since they all apply together, and you can reopen or remove any chip at any time.
