Overdue or incomplete expenses block your budget cards, but completing them unblocks your cards automatically, with no need to contact your admin or Support (see What is Card Blocking?).
Before you start
- Card Blocking only applies if your business has it enabled (it requires a Premium plan or above); if it isn't enabled, your cards won't be blocked for this reason. Only budget cards are affected: subscription cards are never blocked, regardless.
- Your admin sets the number of days an expense can stay incomplete before your card is blocked. The default is 3 days, but admins can configure this up to 14 days, and may exclude specific people or pending transactions (like hotel or car rental holds) from counting. You'll see a warning banner in the mobile app's Incomplete list before you're blocked, showing how many days you have left, so check the number shown in your own app rather than assuming a fixed figure.
- Cards are also blocked if an approver sends one of your expenses back for changes requested, not just when a receipt or field is missing outright.
Steps
Weel mobile app
- Open the Expenses tab. It defaults to the Incomplete view.
- Select an incomplete expense from the list.
- Open the expense detail form.
- Upload any missing tax invoices or receipts.
- Complete all required fields (category, description, and any custom fields or attendees your business requires).
- Submit the expense.
Weel web app
- Log in to Weel.
- Find your outstanding items in the incomplete expenses list on your Dashboard, filtered to your own transactions.
- Open an item from that list and complete it the same way: upload the missing invoice or receipt and fill in the required fields.
Repeat for each overdue expense. Once every overdue expense is complete, your budget cards are unblocked automatically. There's no separate "unblock" button or admin action required.
What happens next
Your budget cards are restored and ready to use as soon as the automatic check runs, normally within moments of completing your last overdue expense. You'll also get an email and push notification confirming your cards are unblocked.
