Limit which custom fields, and which specific options within them, appear on expense reports for a budget, so your team only sees what's relevant.
Before you start
- You have permission to edit budgets.
- Your business has custom fields set up.
Steps
- When creating or editing a budget, scroll to the bottom of the form.
- Open Advanced controls.
- Turn on Limit custom fields.

Select No custom fields to hide all custom fields on this budget, or Specific custom fields to choose which ones appear.
- Specific custom fields shows a searchable, checkable list of every field your business has set up. Excluding a field here only affects this budget, not your business-wide settings.

For any checked field that's a dropdown or list type, click the pencil icon next to it to restrict which options show on this budget's expense reports.
- In the dialog, use Select all or check individual options, then click Save. Free-text fields have no pencil icon since they have no options to restrict.
- Click Save, then save the budget form.
To turn this off
- Open the Create or Edit budget form for that budget.
- Scroll to Advanced controls.
- Toggle Limit custom fields off.
- Click Save, then save the budget form.
What happens next
Once saved, your team only sees the custom fields and options you selected when submitting expenses for this budget, and everything is visible again once you turn the toggle off. Some custom fields may be visible only to Owners, Admins, Accountants, and Approvers; that's a separate visibility rule from this budget-level restriction.
