Start and end dates let you schedule a budget to go live and close on its own — useful for projects, events, and any other budget with a fixed run. When the end date passes, the budget is archived automatically, so there's no clean-up step.
Steps
To set dates on a new budget:
- Open the Budgets page from the left-hand navigation menu.
- Click Create New Budget and fill in the budget as usual.
- Turn on Set start and end dates.
- Set the Start date. It defaults to today. Leave it as today and the budget goes live as soon as you save; pick a future date and the budget is saved as Scheduled until then.
- (Optional) Set the End date. It must be on or after the start date. Leave it blank if the budget should run indefinitely.
- Click Create.
To add or change dates on an existing budget:
- Open the budget from the Budgets page.
- Click Edit Budget Rules.
- Turn on Set start and end dates if it isn't already, then update the dates.
- Click Save, check the confirmation panel, and click Save again.
What you can change depends on the budget's status:
- Scheduled — both the start date and end date can be changed.
- Active — the start date is locked. You can add an end date, move it to any future date, or remove it.
- Archived — nothing can be changed. Archived budgets are read-only.
What happens next
Budgets go live at 12:00am on the start date and close at 11:59pm on the end date, in AEST/AEDT.
- Before the start date the budget shows as Scheduled on the Budgets page. Members can't pay from it yet, it doesn't appear in the Weel mobile app, and it can't be selected on transactions, invoices, reimbursements, or purchase orders. It still appears in approval rules so you can set those up ahead of time.
- On the start date the budget becomes Active and members can start paying from it. Members are notified they've been added to the budget at this point.
- After the end date the budget is archived automatically. Members can no longer pay from it, and it moves to the Archived tab on the Budgets page. See What are archived budgets? for what stays visible.
Note: an archived budget can't be reactivated. If you need the same budget for a new period, create a new one.
Things to remember
- The budget's expiry date is included in the invite email budget members and budget owners receive.
- Members and owners get a reminder email and push notification 7 days before the end date. Budgets that run for less than a week don't get one — the invite already includes the date.
- Budget members can see the expiry date on the budget's card in the Weel mobile app. Hover the status tag on the Budgets page to see the dates in the web app.
- If you change the end date on an active budget, members and owners are notified of the new date. Removing the end date doesn't send a notification.
- Setting an end date doesn't change the budget's top-up cycle. A monthly budget with an end date still tops up each month until it expires.
