When an approver requests changes to a top-up, invoice payment, reimbursement, or card expense, use this guide to review their feedback, make updates, and resubmit for approval.
Before you start
- Decline comments and resubmission must be enabled for your business. An Admin can turn this on in Settings, under AI and automations (see the setup steps below if it isn't on yet).
- This feature is available on Premium and Enterprise plans, not Basic.
Steps
Enable Decline comments and resubmission (Admin only)
If Decline comments and resubmission isn't already on for your business, an Admin needs to turn it on first:
- Log in to the Weel web app as an Admin.
- Go to Settings.
- Select AI and automations from the menu.
- Find the Decline comments and resubmission panel.
- Toggle the setting On.
Once enabled, approvers can leave a comment when they decline an item, or choose "request changes" so you can fix the issue and resubmit instead of starting over.
Resubmit on the Web App
- Open the item with changes required from Transactions, Accounts Payable, Reimbursements, or the Approvals History tab.
- Review the approver's feedback in the Comments section at the top of the drawer.
- Make the necessary changes and attach any missing documentation.
- Click Resubmit.
Resubmit on the Mobile App
- Open the Weel mobile app and tap Requests (for top-ups and reimbursements) or Expenses (for card expenses).
- Open the item with changes required.
- Review the approver's feedback in the Comments section.
- Make the necessary changes and attach any missing documentation.
- Tap Resubmit.
Creating a new invoice payment is still web-app only. But if an approver requests changes on an existing invoice payment, you can now fix and resubmit it from the mobile app too: open it from the approval notification, or from Accounts Payable in the app.
