An archived budget is one that has finished — either its end date passed or an Admin deleted it. Archiving closes the budget to new payments but keeps its history, so your Budgets page only shows what's live while every past budget stays available to audit.
How do budget statuses work?
Every budget has one of three statuses, shown as a tag on the Budgets page:
- Scheduled — the budget has a future start date. Members can't pay from it yet, and it doesn't appear in the Weel mobile app or in the budget lists on transactions, invoices, reimbursements, or purchase orders. It does appear in approval rules so you can prepare those ahead of time.
- Active — the budget is live and members can pay from it. This is the status of every budget without dates.
- Archived — the budget has ended. Members can no longer pay from it and its settings can't be changed.
Budgets move between statuses on their own: a scheduled budget becomes active at 12:00am on its start date, and an active budget is archived at 11:59pm on its end date, in AEDT/AEST. See How to set start and end dates on a budget.
How does a budget become archived?
There are two ways:
- Its end date passes. Weel archives the budget automatically. Budget members and Budget owners get a reminder 7 days beforehand so the cut-off isn't a surprise (budgets that run for less than a week skip this, since the invite already includes the date).
- An Admin deletes it. Open the budget, click the bin icon, and click Delete. The budget is archived straight away.
Note: archiving is one-way. An archived budget can't be reactivated, and its dates, limit, and members can't be edited. If you need the same budget again, create a new one.
Where can I see archived budgets?
- Open the Budgets page in the Weel web app.
- Click the Archived tab above the budget list.
- Open any budget to see its final spend, its rules as they were when it ended, and its members.
Common questions
What happens to transactions on an archived budget?
They stay exactly where they are. Every transaction remains on the Transactions page with its category, tax details, and receipt, can still be edited, and keeps syncing to your accounting integration. See Understanding Transaction History After a Budget or Subscription Is Deleted.
Can budget members see archived or scheduled budgets?
No. Team members only ever see active budgets, in both the web app and the Weel mobile app.
