This article covers what happens after you connect and map your accounting integration: what syncs automatically, how to trigger a sync yourself, and what happens when an account or Tracking Category changes upstream. Weel re-syncs your Chart of Accounts, tax rates, Tracking Categories and suppliers every night, so upstream changes update automatically.
How It Works
Every platform gets the same nightly sync. Each night, Weel refreshes your Chart of Accounts, tax rates, Tracking Categories, Custom Fields, supplier list and accounting period lock date in one pass, for every connected platform. Manual/CSV-based integrations skip the Tracking Category step (see Good to know).
Some platforms sync more often than that.
- Xero re-checks Tracking Categories again about an hour and a quarter later the same night.
- MYOB re-checks two company-level preferences (used for lock-date and category-tracking behaviour) later the same night, without re-pulling the Chart of Accounts or Tracking Category values again.
- QuickBooks refreshes your Chart of Accounts and tax rates close to real time: creating, editing, deleting or merging an account in QuickBooks notifies Weel directly, so it doesn't wait for the nightly job. Tracking Categories don't sync on QuickBooks at all (see Good to know).
- NetSuite runs through a third-party sync layer rather than talking to NetSuite directly, so the nightly refresh (and a manual sync) reads whatever that layer currently has cached. A separate process keeps the cache itself current on its own schedule.
- Business Central follows the same nightly schedule as Xero, MYOB and QuickBooks, with no extra delay. It calls Tracking Categories "Dimensions."
Force a sync any time from Settings.
- Go to Settings > Chart of Accounts and click Sync with [your platform] (for example, Sync with Xero) to pull the latest data immediately instead of waiting for tonight's run.
- If your Chart of Accounts was uploaded as a CSV, this button reads Re-import Accounts and re-reads your last upload instead of contacting a platform. Any user with Settings access (Owner, Admin or Accountant by default) can do this; it isn't limited to Support.
- Clicking it re-syncs everything the nightly job does, not just the Chart of Accounts, and there's no separate button just for Tracking Categories. On NetSuite, a manual sync takes around 30 minutes rather than finishing instantly.
This is different from the per-transaction sync button.
- The Manual [Integration] Sync button on an individual transaction (covered in How to manually sync a transaction into your accounting software) only retries that one transaction's failed export.
- Use the Settings button above for account, Tracking Category or Dimension changes, and the per-transaction button only to retry a stuck export.
Renaming, archiving or deleting an account upstream affects new data, not history.
- Renaming an account updates the same record in Weel, so mapped categories and past transactions are unaffected and the new name just appears wherever it's shown.
- Archiving or deleting an account (Weel treats both the same way) removes it from the next sync and clears any category mapped to it, though the category itself stays and already-exported transactions are unaffected.
- A transaction that hasn't exported yet will fail until someone re-maps its category under Settings > Chart of Accounts.
Tracking Categories and Dimensions sync differently from accounts.
- They only sync at all when your business has the Custom Fields capability (Premium plan and above) switched on; if it isn't, none of them sync from any platform.
- Where they do sync, a rename is matched by name on Xero, MYOB and Business Central, so Weel adds it as a new option and retires the old one, but by reference ID as well as name on NetSuite, so the same item updates in place and keeps its history.
- Either way, a transaction already coded against a value keeps showing that value even after the option is retired or renamed.
If a new account, category or Dimension still isn't showing
- Check it isn't excluded by type or status. Weel only pulls what your platform marks active, and in some cases only certain account types.
- Check your plan includes Custom Fields, if it's a Tracking Category, Class, Dimension or other custom field rather than a plain account.
- Try the manual sync above rather than waiting for tonight's run.
Good to know
- Xero always shows a "Not Applicable" Tracking Category option after every sync. This is expected, not a bug, and it can't be permanently removed.
- If your Chart of Accounts was set up from a CSV upload rather than a live integration, forcing a sync re-reads your last uploaded file instead of contacting your accounting platform, and skips the Tracking Category sync step entirely.
- QuickBooks doesn't sync Tracking Categories (Classes or Locations) at all today. This isn't a plan limitation or a bug; the integration doesn't pull them in yet.
