Communicate that you'll be using Weel for your expenses
Send a message to your team, or share it in a meeting. Let people know there's a change coming to how they manage expenses (for the better).
Here's a template you can use:Hi everyone, in the coming weeks we'll be rolling out Weel, a virtual corporate card app that eliminates card sharing, reimbursements and expense reporting.
You'll receive an invite to join our Weel account shortly. Click the link in the email to create your account and download the Weel mobile app from the Google Play Store or Apple App Store.
We have training scheduled for {insert time and date}. In this session, you'll be shown how to use your Weel virtual corporate card to pay for expenses, and how your expense reporting is completed automatically.

Invite your staff to Weel
Invite your team and add each person to a budget. See How to invite staff members into your Weel account for the exact steps.- Adding someone to a budget only issues them a virtual corporate card if Cards is an enabled payment type on both the budget and the team member. Budgets or staff scoped to Bills or Reimbursements only won't get a card.

Ensure staff create their Weel account and download the mobile app
Once invited, your team will get an email with a link to create their account. To finish, they'll enter their full name, date of birth, mobile number and nationality, accept the Terms & Conditions, and set a password, all required before their account (and any card) can be activated.- Staff should also download the Weel mobile app from the Google Play Store or Apple App Store to access their virtual corporate card. Make sure this is done before your training session.

Run training sessions, or point staff to self-serve onboarding
We recommend running separate sessions for Admins and Accountants, and for Team members:- Getting Started as an Accountant, Financial Controller or Business Owner (covers Admins too)
- Getting Started as a Team Member
As an alternative, or alongside training, Weel offers self-serve in-product onboarding: What is Weel Academy?, a hub of guided walkthroughs, and the Setup Guide, a persistent checklist in the web app covering connecting your accounting software, mapping your chart of accounts, creating your first budget, verifying your business and funding your account. Many businesses now use these instead of, or alongside, formal training sessions.
If you do run sessions, ask staff to bring their laptop and phone, and leave time for questions.

Send a follow-up note
Follow up with a thank-you note and answer any outstanding questions from the training session. Link staff to their relevant Getting Started guide (and Weel Academy) so they can reference it if they forget a step.
