Inviting staff to Weel allows them to access the platform with appropriate permissions, enabling payments, expense reporting, and budget management. This guide also covers how to remove staff if needed.
You will need Admin or Owner access to invite or remove staff.
To invite your staff into your Weel account:
Open User Management.
Click Invite People.
Enter the staff member’s email address.
Select the staff member’s access level:
Admins: Full access to budgets, subscriptions, staff management, payments, and account settings.
Team Members: Can make payments, complete expense reports, request top-ups, and view their own budgets. Cannot create budgets, view other users’ transactions, or change account settings.
Accountants: Can view budgets, edit expense data, export transactions, and configure accounting and expense management settings. Cannot make payments or create budgets/subscriptions.
Note: The Owner role is assigned to the account creator and cannot be added to or deleted.
To invite multiple staff at once, click Invite another and enter additional email addresses and access levels.
Click Send Invite.
When prompted, click Confirm to send a verification code to your mobile.
Enter the verification code from your SMS.
Staff members will receive an email to create their Weel account.
To delete staff members from Weel:
Click the red bin icon next to their name.
Click Remove on the confirmation pop-up.
- If the user cannot be deleted, please make sure to:
The user is removed from any Approval Rules.
They are no longer the sole Budget Owner on any budgets.
Another user is assigned if they were the last in their role type within an Approval Rule.
Deleting a staff member will:
- Automatically close all their cards
- Transfer subscription cards in their name to the longest-standing Admin
- The staff member will no longer be able to access Weel
- Their transaction history can be found on the transactions table.
Please note and Owner role can not be deleted at this point in time. To update the Owner user, please reach out to Weel Support at help@letsweel.com.
