How to create a subscription

Create a subscription card to manage a recurring payment securely, with built-in spend limits and default categorisation.

Before you start

  • You'll need Owner or Admin permissions to create subscription cards. This is the default access level for the Subscriptions feature, but businesses can customise role permissions, so check with your Admin if you don't see the option.

Steps

  1. In the web app, click Subscriptions in the left-hand sidebar. It's a top-level menu item next to Cards, not a tab under Payments.
  2. Click Create New Subscription.
  3. Enter a Name for the subscription.
  4. Select a Cardholder, the person who will have access to the card.
  5. Select a Category for the card.
    • It's the default for transactions here, applied ahead of Weel's other categorisation rules.
    • You can still change it on an individual transaction before you submit or update the expense.
  6. Set the Automatic top-up limit.
    • Choose a reset frequency: day, week, fortnight, month, quarter, year, financial year (April), or financial year (July). There's no one-time option, since subscriptions bill on a recurring cadence.
    • Enter the cap amount. Spend that takes the card above this amount is blocked. The field just shows a dollar sign, not a specific currency, unlike the separate per-transaction-limit field, which does show and check against your business's default currency.
    • Since your Weel account balance is held in a single currency, the limit draws against that balance. If the subscription bills in a different currency (for example, a USD-billed service for an AUD business), add some headroom above the expected converted amount for day-to-day FX movement.
  7. Add any Notes (optional) to reference later.
  8. If needed, limit which custom field options are available on this subscription's transactions. See How to limit custom field options displayed for subscriptions?.
  9. Click Create subscription.

What happens next

The subscription card is ready. The Cardholder can view it in the Weel mobile app: open the Cards tab, go to Subscriptions, swipe to the card, then tap See card details.
