Editing a subscription keeps its vendor, billing, and ownership details accurate for future expenses - see Understanding Subscriptions in Weel for how they work.
Before you start
- You need the Subscriptions permission - the "Create and edit subscription cards" checkbox in your role's settings (Settings → Roles). This single permission covers creating, viewing, updating, and deleting subscription cards, and it's separate from Budgets.
- If you can't see the Edit option, ask your Weel administrator to turn this permission on for your role.
Steps
To edit your subscription:
- In the left-hand menu, click Subscriptions.
- Open the relevant subscription.
- Click Edit. If you don't have edit permission, the Edit button won't appear at all - there's no "•••" menu to check instead.
-
Update the fields you need:
- Name - what the subscription is called
- Cardholder - the one person with access to this subscription's card (must have the "cards" payment type enabled; each subscription has a single cardholder)
- Category - sets the default spend category for this subscription's transactions
- Automatic top-up limit - the maximum amount per billing period; transactions above this amount are blocked
- Billing frequency - how often the limit resets (day, week, fortnight, month, quarter, year, or financial year)
- Notes (optional)
- Under Advanced controls, limit which custom fields are available on this subscription's transactions
- Click Update subscription. Changes take effect immediately.
To delete a subscription instead
This is permanent, there's no way to reactivate it afterwards. If you only want to stop charges temporarily, use Freeze instead so you keep the card's setup.
- Open the subscription you want to delete.
- Click the delete icon in the top-right toolbar - a separate button from Edit, so you don't need to open Edit first.
- Click Delete in the "Delete subscription?" confirmation prompt.
What happens next?
Edits apply to future subscription expenses only - past transactions aren't updated. Deleting closes the subscription card immediately and future charge attempts fail, though it never removes the card's transaction history - you can still view past transactions from the Transactions page. Return to Subscriptions anytime for further edits or to review other subscriptions.
