Fix common export errors in Weel so your transactions sync correctly to your accounting software.
Before you start
- You'll need Admin or Accountant access in Weel to resolve most export errors.
- You may also need access to your accounting software, for example to unlock a period or unreconcile a transaction.
- This article covers the export errors shared by Xero, MYOB Account Right, and QuickBooks. Weel also integrates with NetSuite and Business Central. NetSuite has its own distinct set of export errors and limitations (documented in a separate article), and Accounts Payable and Reimbursement exports to NetSuite aren't currently supported at all.
Steps
- Open the Transactions page in Weel.
- Look for a transaction tagged with an Export Error label in the accounting export column.
- Hover over the Export Error label, or open the transaction, to read the specific error message.
- Match your error message to the list below and follow its steps.
Unmapped category selected
The expense category hasn't been mapped to your chart of accounts.
- Go to Settings > Chart of accounts.
- Map the category to the correct accounting code.
- The transaction re-syncs automatically once the category is mapped.
The accounting period is locked in accounting software
The transaction falls within a period that's been closed in your accounting software.
- Open your accounting software (Xero, MYOB, or QuickBooks).
- Unlock the relevant accounting period.
- Return to Weel, open the transaction, and click Manually sync.
The transaction has been deleted in the accounting software
The transaction was removed from your accounting software after it was exported.
- Open the transaction in Weel.
- Click Manually sync to re-export it.
Updates to the transaction cannot export because it's already reconciled
A change was made in Weel to a transaction that's already been reconciled in your accounting software.
- Open your accounting software and unreconcile the transaction.
- Return to Weel, open the transaction, and click Manually sync.
Transaction amount changed on clearing (GST may be affected)
The final cleared amount differs from the amount that was originally authorised, so the GST recorded against the transaction may no longer match what your accounting software expects.
- Open the transaction in Weel and check that the GST matches the tax invoice.
- Update it if needed.
- Click Manually sync.
Amount changed on clearing and split expense details are out of date
The final cleared amount differs from the original authorised amount, making split expense details outdated.
- Open the transaction in Weel.
- Update all out-of-date split expense details.
- The transaction re-syncs automatically once all splits are updated.
The accounting software connection has been lost
Weel has lost its connection to your accounting software.
- Go to Settings > Integrations.
- Reconnect your accounting software.
- Expense data exports automatically once the connection is reconnected. There's no separate manual-sync step needed here.
The selected category is mapped to a deleted accounting code
The accounting code that the category was mapped to no longer exists in your accounting software.
- Go to Settings > Chart of accounts.
- Re-map the category to an active accounting code.
- The transaction re-syncs automatically.
A previously selected category has been deleted in Weel
This is different from "no category was ever selected" (see the note below): here, a category the transaction did have has since been deleted from Weel.
- Open the transaction in Weel.
- Select a new category.
- The transaction re-syncs automatically.
Note on transactions that never had a category selected: if a transaction genuinely has no category at all, it doesn't show the red Export Error tag described in step 2. The Transactions page shows no status tag for it. Instead, the Manually sync button on that transaction is greyed out, with the tooltip "Transaction requires a category to be selected." The fix is the same either way: open the transaction and select a category. Just don't expect to find this one by searching for "Export Error" specifically.
Some transactions are missing from your accounting software after a sync
Reconnect your integration under Settings > Integrations. Any transactions that failed to export automatically retry.
A few other errors you might see
- Deleted category selected (distinct from the deleted accounting code above: the category record itself, not just its mapping, was removed): open the transaction and pick a new category. It re-syncs automatically.
- Attachment too large: the tax invoice or receipt file attached exceeds the maximum allowed size. Reduce the file size and try again.
- Unable to connect (one-off API error): a temporary API failure, distinct from a full lost connection. Click Manually sync to retry; you don't need to reconnect the integration for this one.
- Currency not enabled in Xero (bills only): the bill's currency isn't enabled under Xero's Settings > Currencies. Enable it in Xero, then manually sync.
- MYOB tracking category required (MYOB only): turn on Custom Fields under Settings, and sync with MYOB, to resolve.
- Tax rate/account mismatch: one or more tax rates aren't compatible with the selected accounts. Check the category, tax rate, and your accounting software settings.
- Missing bank account (invoices, while your business is still being verified): this resolves automatically once your business's verification is complete. No action needed.
- Possible duplicate: the transaction may already exist in your accounting software. Check there for an existing record and delete it before re-exporting, to avoid creating a duplicate.
Manual sync required
No automatic resolution is available for this error.
- Open the transaction in Weel.
- Click Manually sync to push it to your accounting software.
What happens next
Once you've followed the steps for your error, Weel automatically re-syncs the transaction, or prompts you to sync it manually; when this succeeds, the Export Error label clears and the transaction appears in your accounting software. If the error persists, check that your accounting software integration is still active under Settings > Integrations.
