Assign a delegate approver to automatically redirect a person's approvals to someone else while they're on leave, or whenever they'd otherwise have to approve their own request.
Before you start
- You need to be an Owner, Admin, or have the Add and remove people permission. This one permission covers everything needed: there's no separate view-only option.
- Delegate approvers are available on Premium and Enterprise plans.
Steps
- Open User management in the Weel web app.
- Open the profile of the approver you want to assign a delegate to.
-
In the Delegation Settings section, select a person from the Delegate approver dropdown.
- This section also has a separate Expense delegate (Beta) setting for handling someone's card expenses. It's not related to approvals.
-
Click Update. The delegate applies immediately to self-approval redirects if your business has Prevent self approval switched on, regardless of Out of office status.
- If you don't set a delegate, the account's Owner is used by default, or the oldest Admin if there's no Owner.
- To also redirect their approvals for a specific leave period, toggle on Enable out of office, set a Start date and End date, then click Update again.
What happens next
Once redirected, approvals stay with the delegate even after the leave period ends: they don't revert automatically. If a request needs several rounds of approval and more than one approver is out, each round redirects to that approver's own delegate independently, and no approval rule can override an active delegate assignment.
