How to withdraw a submitted reimbursement

You can withdraw a submitted reimbursement claim yourself, right up until Weel starts processing the payment. This cancels the claim completely and immediately releases any budget amount it was holding, the same as if the claim had never been submitted.

Can you withdraw your claim?

Check the claim's status on the Reimbursements page (web) or the Requests tab (mobile):

Both you and the claim's approver(s) can withdraw it, at any stage the table above allows.

If you don't need to withdraw, or you can't

• Coding Required, Failed Payments, or Changes Requested: edit the claim directly (amount, receipt, merchant, category) and resubmit it in place; no need to withdraw it first.
• Approval Required or Scheduled for Payment (not yet processing): you can't edit these directly. Withdraw the claim and submit a corrected one instead.
• Declined: you can't delete or edit it. Submit a new claim with the correct details.
• Processing or Payment Sent: self-service withdrawal is no longer available. Contact Weel Support if the payment needs to be stopped.
• Paid: this is a different situation from withdrawing a claim, and out of scope for this article.
• Wrong bank account details: this is a profile-level setting, not a per-claim fix. Update your bank details under your profile, and Weel will automatically retry the payment.

Steps

Web app

1. Go to Reimbursements in the left-hand menu.
2. Click into the claim you want to withdraw.
3. Click the Delete icon at the top of the claim panel.
4. Confirm on the "Delete reimbursement?" prompt by clicking Delete.

Mobile app

1. Open the Requests tab.
2. Tap into the claim.
3. Tap Delete.

What happens next

Once withdrawn, the claim disappears from your list completely rather than staying on it as a cancelled record, and any budget amount it was holding returns straight away.
