A one-off top-up (also called a one-off limit adjustment) increases or decreases a budget's available limit right now, without changing its ongoing budget rules.
Before you start
- This works only for budgets without per-member limits turned on. If member limits are on, top up each member's limit individually instead, from the budget's Budget Members table.
- Whether your change applies immediately or needs approval depends on your role. Admins, Owners, and this budget's approvers can typically apply it without waiting on a separate approver; everyone else submits a request through your organisation's Approval Rules.
- If you're the configured approver for that rule, your own request may be auto-approved, unless your organisation has "prevent self-approval" turned on. Separately, whether an ordinary budget member (not an Admin, Owner, or approver) can see this control at all depends on which version your business currently has.
Steps
- Open the Budgets page and select the budget you want to adjust.

In the budget's overview, select the pencil icon labelled Request limit update.
- Depending on your business, you may instead see a One-off limit adjustment button, which asks for the budget's new total limit rather than the amount to change it by.
- Enter the amount you want to change the limit by, and choose Increase or Decrease.
- Add a reason for the change.
- Select Request limit increase or Request limit decrease.
What happens next
If your change needs approval, your approver is notified and you can track the request the same way as any other approval. Once it's resolved, whether immediately or after approval, the budget's available limit updates; if it's declined, the limit doesn't change. Decreasing the limit follows the same steps and the same permission and approval rules as increasing it, it isn't a separate, unrestricted action.
This is a one-off change only: it doesn't affect the budget's ongoing rules (its regular limit, schedule, or recurrence), which continue from the next cycle as normal.
