If you've used your Weel card for a personal expense by mistake, you can't cancel the payment, but you can put the money back into your Weel account balance. If you're new to how transfers work in Weel, start with How to transfer funds into your account balance for background.
Before you start
You'll need:
- Access to your own bank account to make the initial transfer to the external business account.
- Access to the external business bank account that holds the same legal name as your Weel account. This is the account the reimbursement must pass through on its way to Weel.
- An Admin, Owner, or a role with Account Balance permissions to complete the second transfer into Weel. This may be you or another member of your team, depending on who normally manages funding for your Weel account.
Note: Every business handles internal reimbursements a little differently. Check with your finance team or manager on the best way to record and process this before you start.
Steps
- Confirm the payment can't be reversed. Once a card payment has been processed, Weel can't cancel it from our side, so the fix is a reimbursement transfer rather than a cancellation.

Transfer the amount you spent from your personal account into your business's external bank account (the same account your business normally uses to fund Weel). This account must be held in the same legal name as your Weel account.
- Note: You can't transfer funds directly from a personal account into your Weel account balance. The second transfer, from the external business account into Weel, needs to be completed the same way your business would do a normal top-up, by an Admin, Owner, or whoever holds Account Balance permissions.
- That person logs in to the Weel web app.
- Goes to Settings.
- Clicks Account Balance.
- Selects the Transfer tab.
- Copies the BSB, Account number, and Account name shown on this screen.
- From the external business bank account, starts a transfer using these details. Note that the payee account name will show as Nium Pty Ltd. This is expected, since Weel's funding accounts are issued by Nium. See Why the Account Name for Direct Transfers Shows as Nium Pty Ltd for more detail.
- Completes the transfer from online banking.

Watch out for this: the second transfer must come from a bank account held in the same legal name as your Weel account. Transfers from personal accounts or other third party accounts may be rejected. Because reimbursement processes vary by business, treat the steps above as the mechanics of moving the money, and confirm the recording and approval process with your own finance team.
