Weel and your accounting platform apply different file size and format limits. A file can upload to Weel successfully and still fail to sync to Xero, MYOB AccountRight, QuickBooks Online, NetSuite, or Business Central. This article covers what Weel accepts for receipts, the Receipts Mailbox, and Accounts Payable, and the limit each accounting platform applies once the file reaches it.
How It Works
- Transaction receipts and tax invoices: Upload up to 10 files per expense, each up to 10MB (raised from an older 3MB-per-file cap), on web and mobile. Accepted formats are PDF, JPEG, PNG, GIF, and TIFF everywhere; HEIC on mobile only (converted to JPEG automatically), and .eml on web only. JPEG and PNG compress automatically on web, so a larger original often still gets through; PDF, GIF, TIFF, and .eml files don't compress, so anything over 10MB is rejected outright.
- The Receipts Mailbox (receipts@letsweel.ai): Available on Premium plan and above. An Owner or Admin turns it on under Settings > AI Expense Complete > AI-Powered Receipt Collection, and it switches on and off automatically with plan changes. It accepts PDF, JPG, PNG, and HEIC up to 10MB per attachment (raised from an older 5MB cap), a narrower format list than the general uploader. One email can hold several receipts, each matched separately. If there's no usable attachment but an HTML body, Weel renders that to a PDF instead.
- Accounts Payable uploads: From the Accounts Payable dashboard, upload PDF, JPEG, PNG, GIF, or TIFF up to 10MB, the same rules as transaction receipts (no HEIC, since Accounts Payable has no mobile upload path). Emailing an invoice to your Accounts Payable inbox is stricter: PDF only, up to 5MB per attachment. Weel checks the actual file content, so a mislabelled PDF still comes through. If an email has several attachments, Weel processes the valid PDFs under 5MB and skips the rest.
- Multiple attachments: Attach up to 10 files to a single transaction or bill, on web and mobile (up from an original one-file limit). Every file syncs to your accounting platform, subject to that platform's own limit below.
- Accounting platform sync limits: Once a file leaves Weel, your accounting platform applies its own ceiling: 10MB for Xero (raised from 3MB in May 2025), NetSuite, and Business Central; 25MB for QuickBooks Online; and roughly 2MB in practice for MYOB AccountRight. Weel first converts and downsizes images that don't fit; only when that's not possible, such as an oversized PDF, does the sync fail, with an "attachment too large" or "attachment type not supported" error.
- MYOB AccountRight's real limit: MYOB advertises a 3MB cap, but that applies after the file is base64-encoded for their API, which inflates size by about a third. Weel caps what it sends at roughly 2.1MB of original file size to guarantee it clears MYOB's limit, so for MYOB, keep files under 2MB rather than trusting the 3MB figure.
Good to know
- Rejection messages differ by device and screen: web shows "File size exceeds 10MB" or "File type not accepted"; mobile shows "10MB limit exceeded. Tap to try again." or, on some screens, "...exceeded the maximum file size of 10MB."
- If nothing in a Receipts Mailbox email is usable, no receipt is created and the sender isn't notified. Accounts Payable's email-in works differently: if no attachment qualifies, no bill is created, and a recognised sender gets an in-app notification (an unrecognised sender gets nothing).
