Remove someone from a budget when they no longer need access to it, without deleting the budget or affecting their other budgets.
Steps
- Open the budget and find the person in the Budget Members table.
- Click the trash-can icon on their row.
- Confirm in the pop-up.
What the pop-up says depends on whether the budget has per-member limits turned on:
- Budget with per-member limits: The pop-up reads "[Name]'s card will be closed. All transactions can be found on the transaction table." It also shows how the budget's own Available Limit and Top-Up amount will shrink once their personal limit is removed. Click Remove to confirm.
- Budget without per-member limits (a shared budget): The pop-up reads "[Name] will not be able to make payments from this budget. All transactions can be found on the transactions table." Click Remove to confirm.
Once confirmed, the member loses access to that budget immediately. Nothing else about their account changes: they keep every other budget they're on and keep using Weel as normal.
What happens to their card
"Closed" means exactly that. If a card was issued specifically for this budget, it's revoked and can't be used again. If the member was instead spending from this budget on their Primary Card (the one card they use across whichever budget it's currently linked to), removing them doesn't close that card. It switches which budget the card draws from next: automatically to another budget they're still on, or unlinked if this was their only one. What happens to their transactions
Every transaction they made against the budget stays exactly as it was: visible on the Transactions page with its original category, tax details and amount, and still synced to your accounting integration. Removing someone from a budget doesn't touch transaction history, the same way deleting the whole budget doesn't. See Understanding Transaction History After a Budget or Subscription Is Deleted.
What happens to pending items
A pending request to change their limit on this budget is cancelled automatically. Removal doesn't affect any pending approval on a transaction or expense they've already submitted; those follow the transaction's own approval workflow.
When you can't remove someone
The trash-can icon is disabled, with a tooltip explaining why, in exactly two cases:
- They're the only member left in the budget. Every budget needs at least one member, so add someone else first if you want to remove the last one.
- The budget is archived. Archived budgets can't be edited at all, including removing members.
Being a budget owner or approver doesn't block removal, and neither does holding the only active card on the budget.
Removing someone vs. deactivating them
Removing a member takes them off this one budget only. To offboard someone completely, deactivate their Weel account from their employee profile instead. Deactivating someone removes them from every budget they're on at once, not just this one, and has its own separate effects on their approvals and account.
This is a web app action today: The remove control on the Budget Members table isn't available in the mobile app.
