Every Weel account uses roles to control what each person can see and do. This article covers the four default roles, Owner, Admin, Team Member, and Accountant, how their permissions differ, and how payment access actually works. Understanding these differences means you can assign the right level of control to the right people from day one.
How It Works
Owner
Has the same access as an Admin, and is also the account's designated primary contact, responsible for business verification. The Owner is auto-assigned to whoever creates the account. Changing who holds it is a support-actioned process, not something you can do yourself: contact Weel support, who will typically ask for proof such as a signed letter from a company director or board member, plus identity verification of whoever's requesting the change.
Admin
Has the highest level of account-management access. Admins create, edit, and delete budgets with full visibility into every budget's metrics; invite and manage staff; create and edit custom roles and subscriptions; manage account settings; and generate and manage API keys for the Weel OpenAPI. Being an Admin doesn't automatically grant payment access (see below).
Team Member
Can complete expense reports, request budget top-ups, view their own budgets, and create Purchase Orders. Can't create budgets, view the overall account balance or other people's budgets and transactions, adjust people or account settings, or approve and manage Purchase Orders the way Admins can.
Accountant
Can view budgets, edit expense data, export transactions, and configure accounting and expense settings. Can create and view, but not edit, Purchase Orders. Can't create budgets or subscriptions, or transfer funds into the account balance.
Payment access isn't role-based
Whether someone can pay comes down to budget membership, not role. Once anyone (Owner, Admin, Accountant, or Team Member) is added to a budget with a card or other payment type attached, they can spend from it. An Accountant on a card budget can pay; an Admin who isn't in any budget can't.
Custom Roles
Create custom roles with the permission and access levels you define, and name them to fit your business, for example supervisor, team lead, or department head. Learn how to create a custom role.
Good to know
- Don't confuse the Owner role with a Budget Owner (formerly called Budget Approver). A Budget Owner is a separate, per-budget assignment that any active person can hold, including a Team Member, regardless of their business-level role. You can hold both at once.
