Invite a bookkeeper, accountant, or other back-office user to your Weel account yourself, with the built-in Accountant role described in Understanding the Different Roles and Access Levels Within Weel.
Before you start
- You'll need the new person's email address.
- You need to be an Admin, the account Owner, or hold a custom role with people-management permission. The Accountant and Team Member roles can't send invites.
Steps
- Open the People page.
- Click Invite People.
- Choose Quick invite to add a few people with different roles, or Bulk CSV invite to add several people at once with the same role and payment types. For bulk invites, see How to bulk invite users into your Weel account
-
Select Accountant from the Role dropdown. This built-in role suits bookkeepers and similar back-office users: it lets someone view budgets, edit expense data, export transactions, and configure accounting settings, without letting them create budgets or subscriptions or move money in your account balance.
- If a custom role fits better, choose that instead: see How to create a custom user role for your Weel account. Owner isn't selectable here; that role belongs to whoever created the account.
-
Enter the person's email address and press Enter. Add more addresses to invite several people to the same role at once.
- There's no separate "external accountant" type in Weel. If your bookkeeper works from a shared team inbox, that's fine too: Weel doesn't require the invite address to belong to one named person, but whoever accepts the invite still supplies their own individual details to finish setup.
- Select the Payment Types this person can use if they're later added to a budget with a payment method attached. Cards is always available; Accounts Payable and Reimbursements appear if your plan includes them. The Accountant role itself doesn't grant or block payment access; that comes from budget membership, so leave someone out of any budget with a payment type attached if you want them to have books access only.
- Tick the checkbox to confirm you agree to the Terms and Conditions, then click Invite.
What happens next
- The person gets an email to set up their own Weel login, providing their name, mobile number, date of birth, and nationality. It can take up to 5 days for Weel to verify their details before they get full access.
- They're tagged Pending invite in your People list until they accept, so you can add them to budgets or subscriptions ahead of time. Invite links don't expire and can't be resent, so to fix a typo or change their role, cancel the pending invite and send a new one (see Understanding Pending Staff Invites).
- Every person you invite, including a bookkeeper or accountant, counts toward your billed user total for that billing cycle, regardless of role or whether they ever use a card.
