A bank transfer top-up to your Weel Account Balance can be returned for a few common reasons, most often a mismatch between the sending account's name and your business's registered name. A returned top-up won't show up anywhere in your Transactions history, so this article covers why it happens and how to confirm what took place.
How It Works
- Name mismatch: The sending account's name must exactly match your business's registered legal name on Weel, or the transfer is automatically rejected and returned.
- RTGS deposits: Not supported in Australia or New Zealand, and won't return automatically. Contact support with a bank statement and trace number.
- Account paused: A compliance hold or unpaid subscription causes any incoming transfer to be automatically returned while it's in place.
- Wrong account details: A mistyped BSB or account number sends funds to a different account entirely, and Weel can't return money it never received.
- Hidden from your history: A returned or cancelled deposit is deliberately excluded from Transactions on web and in the app, even by direct link.
- Confirming what happened: Check your own bank statement for the return, or contact Weel support with the amount and date.
Good to know
- The name-matching check is an automatic anti-money-laundering check run on every incoming transfer since 1 June 2026. Transfers from a related entity (like a parent company) or a personal account need pre-approval in advance - without it, they're returned for a name mismatch, and we email your account's Owner and Admins.
- RTGS refunds can take up to 10 business days once support has your bank statement and trace number.
- BPAY isn't a valid way to top up your Account Balance, so it's not a return scenario at all - it's only accepted for Accounts Payable bill payments.
- Some deposits go through an anti-money-laundering hold first, so a transfer can briefly look like it's landed before being returned a day or so later.
- Your Account Balance figure will still rise and then fall back to reflect the transfer, even though the transaction record itself is gone.
- A returned top-up is different from a merchant refund, which updates your original transaction in place, keeping its original date, rather than disappearing the way a returned top-up does.
- Weel support can look up a returned top-up internally, even though it's invisible in your own Transactions history.
