Direct debit is a pull payment that automatically tops up your Weel account balance from your linked business bank account whenever it drops below a minimum you set. Once set up, it is completely hands-off, keeping funds available for cards, subscriptions, accounts payable, and reimbursement payments without manual transfers. Direct Debit can be found under Account Settings > Account Balance.
How It Works
- Automatic top-ups: When your balance falls to your minimum threshold, Weel pulls your chosen top-up amount from your bank account, with no action needed from you.
-
Two settings: Top-up Amount ($100 to $250,000) is how much Weel pulls and Minimum Balance is the trigger point, so you control both the size and timing of top-ups.
- For example, a $10,000 top-up amount with a $2,000 minimum pulls $10,000 the moment your balance hits $2,000. Revisit both anytime your spending changes.
-
One-time bank verification: Confirm ownership of your funding account with a 1-cent code sent to your bank within 1 to 2 business days.
- See How to set up a direct debit to top-up your account balance for the full steps.
- Settlement times: A debit can take up to an hour to trigger once your balance hits the minimum, and funds typically arrive within 3 to 5 business days. Factor this window into your Minimum Balance, and track an in-flight debit's progress and estimated arrival from your Weel dashboard.
- Low balance warnings. Separately from Direct Debit, Weel estimates your account's runway from your spend rate and alerts admins instantly in-app, then by email a few hours later, even before your balance reaches your minimum, so you can top up early.
- Progress tracking: Follow each stage of an in-flight debit and its estimated arrival date via Direct debit progress.
Tips for keeping your balance topped up
- Allow for the settlement window. Your balance keeps dropping while a debit settles, and payments can decline if it reaches zero, so factor those 3 to 5 days into your minimum balance.
- Act on runway warnings. These can appear while your balance is still above your minimum, giving you time to top up before the debit triggers.
- Revisit your settings as spend changes. If budgets, subscriptions or bill volume grow, your original top-up amount and minimum balance may no longer keep pace.
-
Top up manually if you are running low. A direct transfer from your bank is near-instant on NPP-enabled accounts and can bridge the gap while a debit is in flight.
Good to know
- Funds must come from a business bank account in the same legal name as your Weel account. This is an AML/CTF requirement.
- If a payment fails because the balance ran out, the affected team members are notified as well.
- First-time setups, changed bank details or unusually large amounts may be reviewed by our team before a debit is processed.
-
You're not limited to Direct Debit. A direct transfer from your bank is near-instant on NPP-enabled accounts and can bridge the gap while a debit is in flight.
