Add someone with view-only access to a business account by creating a custom role with only view permissions, without removing any existing Admin: see how roles work in Weel.
None of Weel's default roles, Admin, Accountant, or Team Member, is purely view-only: each carries some edit, spend, or management ability alongside its view access. To give someone read-only visibility with no card, spend, edit, or approval rights, create a custom role with only the "View all" permissions turned on, then invite them into it.
Steps
- Open the People page and select the Roles tab.
- Click Create new role.
- Enter a name for the role, for example "Viewer" or "Read-only."

Under Set permissions for this role, tick only the view permissions relevant to what this person should see, for example:
- View all budgets (Budgets)
- View all reports (Reports, only shown if Reports is enabled on your plan)
- View all approvals (Approvals)
- View all invoice payments (Accounts Payable, only shown if Accounts Payable is enabled)
- View all reimbursements (Reimbursements, only shown if Reimbursements is enabled)
- View all Purchase Orders (Purchase Orders, only shown if Purchase Orders is enabled)
Leave every "Create and edit" and "Edit all" checkbox unticked, and leave People, Settings, Subscriptions, and API access off.
- Note: there's no dedicated "view only" option for transactions. The closest control, "Edit expense data for all transactions," grants edit access too, so leave it unticked unless you also want to give this person edit rights.
- Click Create.
- Go to the People page and click Invite People.
- Choose Quick invite, select the new role from the Role dropdown, and enter the person's email address.
- Choose payment types for the group. Since this person isn't spending, leave the default selected, or choose none if your plan allows it.
- Tick the Terms and Conditions checkbox and click Invite.
What happens next
They get an invite email and appear in People with their view-only role once they accept it. Nothing changes for any existing Admin, Owner, or other person: you can remove an Admin from a business account (Owner is the only role that can't be removed), but that's a separate action, and a business account can have several Admins at once, so adding this new role never requires removing one.
