Your Weel Account Balance and Budget Limit work together but measure different things.
- Account Balance: Your Weel account balance is the total funds available for spending by users across all budgets and subscriptions through card payments, bills and reimbursements.
- Available Budget Limit: This is the spending cap within a specific budget, reflecting the allocated funds per budget. Your budget limit draws funds from the overall account balance. Therefore, there must be enough funds in the overall account balance to cover payments made against the available budget limit.
How It Works
- Two independent checks: a payment needs enough remaining Budget Limit and enough Account Balance; either one falling short declines the payment, regardless of the other.
- Topping up the Account Balance: only an Admin, or someone with account or settings permissions, can add funds; team members are simply told their admin's been notified.
- Automatic top-ups: set up a Direct Debit with a threshold, and Weel tops up your Account Balance automatically whenever it runs low.
- Requesting a budget top-up: request one from the mobile app, or ask an admin to top it up directly from the web app; your limit increases immediately once approved.
- Who approves a top-up request: your budget's designated approver, based on your organisation's Approval Rules. This isn't necessarily an Admin: any employee assigned as that budget's approver can approve or decline the request.
Good to know
- For most team members, the mobile app shows their budget's Available Budget Limit, not the full Account Balance.
- Admins can view the actual Account Balance from the mobile app's Menu; this view is limited to admin or settings-permission users.
- Even an approved budget top-up can fail if the Account Balance doesn't have enough funds to cover it. If that happens, contact your admin.
