There's no single migration feature for this: moving to a new legal entity means setting up a new Weel business and moving your users, cards, funds, and accounting connection yourself.
Before you start
Confirm this is genuinely a new legal entity, not a name change or a second business under the same ABN, before you begin:
- Only your registered business name changed, not your ABN, ACN or NZBN: contact Support with your ABN or ACN, evidence of the name change (for example, an ASIC extract), and confirmation of any director or UBO changes. You don't need a new business for this.
- You want a second business under the exact same ABN or ACN, for example to split off a division or cost centre: use the same Add new business option and enter the same ABN or ACN. Weel matches your existing verified business, clones its registration details, and carries over your verified status, so there's no fresh KYB. Only contact your account manager or Support if you can't self-serve, for example if the original business has been churned or its email is blocked.
- You've genuinely changed legal entity, with a new ABN, ACN or NZBN: continue with the steps below.
- Contact Weel Support (help@letsweel.com) if you're not sure how to proceed or if you have any questions.
Steps
-
Create your new business profile. Click your business name in the top-right of the Weel web app, then select Add new business.
- You'll complete full sign-up and verification (KYB) again, since Weel can't reuse verification from your existing business. Contact Support if it's taking longer than expected.
-
Invite your team to the new business. Go to People, click Invite People, and invite each team member using the same email they already use for Weel, choosing their role and payment types as you go.
- The same login can belong to more than one Weel business at once, so your team sees both in the switcher until you remove them from the old one. For a larger team, use Bulk CSV invite instead.
-
Issue cards for the new business. Cards can't be transferred between businesses: once someone accepts their invite and is assigned a budget with the Cards payment type, their virtual card issues automatically.
- Order physical cards individually, or in bulk for a larger team, and freeze or cancel cards on the old business once they're no longer needed.
-
Withdraw funds from the old business. Contact Weel Support (in-app message or help@letsweel.com) with the amount and destination bank details. See Understanding Fund Withdrawals from Your Weel Account for how this works.
- Support verifies the request, typically requiring Admin or Owner confirmation, and your business needs to have passed KYC verification first.
- Fund the new business. Transfer funds in yourself under Settings on the new business, using bank transfer or Direct Debit, the same way you funded your original account balance.
-
Reconnect your accounting software. Pick a cut-over date, finish reconciling outstanding expenses on the old system first (historical transactions aren't re-exported once you switch), then connect the new business to your accounting organisation.
- A Weel business can only connect to one accounting organisation at a time, so disconnect the old integration first if it's still attached, and remap your chart of accounts, since fields like tracking categories or jobs won't carry across automatically.
-
Close the old business once you're ready. Contact Support to close it, after exporting any transactions, tax invoices, and reports you still need.
- Dashboard access ends the moment closure is processed, with no read-only access afterward. Closure only completes once your balance is $0, all card transactions have settled, and seven days have passed since your last payout.
